Officer Roles

Chairperson
Provide leadership for Falkirk and District u3a.
Ensure the smooth operation of Falkirk and District u3a.
Chair monthly Trustee meetings.
Chair AGM.
Ensure members are kept informed of latest u3a developments.
Support the Secretary in the preparation of agendas and minutes for Committee and General Meetings.
Contribute to monthly newsletter.
Lead on succession planning.

Vice Chair
Deputise for the chair in their absence.
Assist and liaise with the chair when necessary.

Secretary
Prepare and distribute minutes of committee meetings.
Assist Chair to prepare meeting agendas.
Send meeting invitations and related paperwork to Trustees.
Ensure the maintenance of important records.
Act as the primary link to the National u3a office.
Act as counter signatory on bank payments.

Treasurer
Maintain financial records in accordance with the financial policies.
Maintain financial records in accordance with the applicable charity laws and statutes.
Manage the bank account in accordance with relevant financial policies.
Prepare accounts and budgets for Trustee committee members and meetings.
Prepare the annual accounts for the AGM, publication and filing.
Ensure that an Asset Register is maintained.
Act as point of contact for HMRC.
Act as point of contact for OSCR.

Other Roles

Membership Secretary
Maintain an up-to-date record of members.
Review and update information on application form for membership.
Register new members, both in writing & digitally.
Liaise with & pass any monies received to the treasurer.
Prepare and keep a current database of all paid up members.
Ensure that members personal data is secure in line with GDPR.
Keep a record of all members throughout a period of 7 years.
Send member information for quarterly ‘Third Age Matters’ magazines for members.
Submit appropriate data, when necessary, to the Third Age Trust for Direct mailings.

Group Co-ordinator
Responsible for assisting with the setting up of new interest groups and supporting existing interest groups.
Attend Trustees meetings and advise of any group updates when required.
Pass on information to Group Leaders as and when necessary.
Liaise with the Zoom co-ordinator as required.
Answer any group related emails received from the Falkirk & District u3a website.
Advise the Webmaster and Newsletter Editor of any changes in groups or any new groups.
Ensure that the Interest Groups list is kept up to date.

Webmaster
Maintain, develop and update the existing website.
Send out electronic communications, including monthly invitations, to members.
Act as contact point for enquiries regarding the website.
Investigate potential for social media.
Work with the National u3a in the development of a new Falkirk and District u3a website.

Mailchimp Co-ordinator
Liaise with Trustees and Newsletter Editor to ensure that the monthly Open meeting invite and Newsletter is emailed to all members.
Email any updates to members as requested by the Trustees.
Liaise with Membership Secretary to ensure that all members details are correct and includes all new members.
Keep the Mailchimp database up to date and in compliance with GDPR.
Provide Trustees with relevant stats from Mailchimp as and when required.

Public Relations

Write and edit articles, information and topics for the Monthly Newsletter.
Administer, moderate and respond quickly to user comments on our Facebook page.
Liaise with the Webmaster to review and improve the Website.
Represent our u3a in the Third Sector by attending the relevant CVS Forums as a way of enhancing our profile and attracting new members.
